What is Inbox Zero

Inbox Zero is a productivity method developed by Merlin Mann. Contrary to what its name suggests, it doesn't aim for a permanently empty inbox, but to reduce to zero the mental time spent wondering what's sitting in your inbox. Every email is handled once, then leaves your mental screen as much as your real one.

The 4D method

For every email you receive, there's only one question: what to do, among four possible actions? The details of each action are covered in the 4D method for managing email.

Delete: get rid of anything with no value
Do: handle it immediately if it takes under 3 minutes
Delegate: forward it to the right person
Defer: schedule a specific time to come back to it

Gmail setup for Inbox Zero

In Gmail settings (Advanced tab), enable Auto-advance to automatically move to the next message after an action, instead of returning to the list. The Multiple Inboxview, positioned on the right, lets you display a "to handle today" queue next to your main inbox. Keyboard shortcuts (E to archive, # to delete, L for labels) speed things up considerably.

Where automation takes over

Inbox Zero assumes you handle every email manually, which takes daily discipline. Part of the work — especially sorting by category and identifying what's truly urgent — can be handed off to AI sorting, so manual discipline is only kept for the decisions that truly deserve it.
